bookings and registers

Groups that deliver HAF funded Fit for All sessions will take booking enquiries; make confirmed bookings; and take a register at each session to check the attendance by participants. A booking and register recording system will be amde available to groups that take part. This system aims to make the collection of the data below as straightforward as possible.

The list data to be recorded and shared with Fit for All on booking is:

  • Parent/carer first name
  • Parent/carer last name
  • Parent/carer email
  • Parent/carer mobile number
  • Child’s First name
  • Child’s Last Name
  • Free School Meal eligibility (Yes / No)
  • School name (From a list of schools in Birmingham andincluding Home Schooled and at school outside Birmingham as options)
  • Whether the young person is disabled (Yes / No)
  • Whether the young person has a special educational need (Yes / No)
  • Home postcode
  • Ethnicity (From standard UK ethnicity list)
  • Gender
  • Date of birth (DD/MM/YYYY format)
  • Bring it on Brum! Eligibility Code

The data that is shared with the Fit for All programme on registration is:

  • whether or not a participant attended the session (Yes/No)
  • optionally, any notes about why they did not, if they did not.

The booking and registration system is provided for use by groups and works in real-time. It is optional and groups can use their own systems for collecting and sharing data as long as they provide the data above either in real-time or as batches no more than a week in arrears. In other words, you don’t have to use the system we provide, but if you don’t you will need to send in accurate returns from your own system at least every week, eg on a Monday morning relating to the preceding week.
